Privacy Policy
This policy explains how Active Trade & Marketing Corporation ("we", "ClickToPost") collects, uses and protects personal information when you use clicktopost.ca. We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
- Agent account data: name, title, brokerage, email, phone, headshot/logo you upload, password (stored only as a one-way hash), posting preferences and filters.
- Social account data: when you connect Facebook, Instagram, LinkedIn, X or TikTok, we receive from that platform an access token (and refresh token where offered), your platform user/page/account ID, display name and profile picture, and the list of Pages/accounts you choose to grant. We do not receive or store your social passwords.
- Listing data: MLS® listing information and photos licensed from the Toronto Regional Real Estate Board (TRREB) via PropTx's IDX data feed, and listing announcements sent by the brokerage. Listing data may include the names of listing agents and brokerages. It does not include personal information of sellers beyond what TRREB permits for public display.
- Usage and audit logs: sign-ins, posts created/approved/published, IP address and browser type, kept for security and compliance.
2. How we use it
- To prepare listing posts and publish them to the accounts you connected, only as you instruct (approve-first or auto-post settings).
- To add mandatory agent and brokerage attribution and compliance text.
- To send you listing emails with click-to-post links (you can unsubscribe).
- For security, troubleshooting and records required by the brokerage, RECO or TRREB.
We do not sell personal information, use it for advertising profiles, or use platform data for any purpose other than publishing your posts and showing you their status.
3. How social tokens are protected
Access and refresh tokens are encrypted at rest (AES-256-GCM, key held outside the database), transmitted only over HTTPS, accessible only to the publishing service, never shown in the interface or logs, and deleted when you disconnect, when the platform revokes them, or on deletion request.
4. Listing data and IDX rules
Listing content is displayed and shared under ClickToPost's data licence agreements with TRREB/PropTx and is subject to their rules. Listing information is deemed reliable but not guaranteed. The trademarks MLS®, Multiple Listing Service® and associated logos are owned by The Canadian Real Estate Association (CREA) and identify the quality of services provided by real estate professionals who are members of CREA. REALTOR® is a trademark controlled by CREA. Listings that are sold, expired or withdrawn are removed per the feed rules.
5. Sharing
We share data only: (a) with the social platform you direct us to post to; (b) with your brokerage (administrators can see posts made under its name); (c) with service providers that host or email for us under confidentiality obligations; (d) where required by law.
6. Where data is stored
Data is stored on servers operated by our hosting provider, which may be located in Canada or the United States.
7. Retention
Account data is kept while your account is active. Tokens are deleted on disconnect. Audit logs are kept up to 7 years for brokerage compliance unless deletion is legally required sooner. Listing data is retained per the TRREB/PropTx agreement.
8. Your rights
You may access, correct, or delete your information, withdraw consent, or disconnect any platform. See Data Deletion Instructions. You may complain to the Office of the Privacy Commissioner of Canada.
9. Compliance disclaimer
Posts are advertising by the registered agent and their brokerage. Agents remain responsible for compliance with RECO / TRESA advertising rules, TRREB/CREA rules and each platform's policies. ClickToPost supplies default attribution wording that has been prepared for, but must be confirmed by, each brokerage.
